Background
Supplying Job Management software designed for contractors carrying out day to day repairs and servicing on social housing, can be challenging especially with ever changing government regulations.
InterNETalia, suppliers of AccuServ, have clients who carry out hundreds of low value jobs per day, and until the adoption of
Integral mForms® relied on hand written job sheets from maintenance operatives to provide management information, client performance information and most importantly, to invoice the job.
As a software vendor InterNETalia wanted to take advantage of advances in technology and looked for the best way to provide a mobile data solution. “We have found that using Integral mForms® has allowed us to deliver professional solutions for mobile data quickly, enabling our clients to increase productivity, save money and comply with government legislation such as CP12 gas safety certificates” commented the sales and marketing director, InterNETalia.
Solution
With the help of Integral mForms®, InterNETalia have been able to completely replace the written job sheet with AccuServ for PDA and rugged handheld solutions. This was achieved by adapting business process to reflect the advance in technology that mobilising this application brings.
In one case, by agreeing that if a job meets certain criteria and is pre-priced before it is sent to the contractor, then the job is cleared all the way to payment with no other human intervention. Previously, deciphering the written job sheets was often impossible, leading to inaccuracies in the data, delay in invoicing, and slow cash collection.
AccuServ also comprises a Gas Safety Certificate module. It is a legal requirement for every property in the UK that is rented out to have a Gas Safety Certificate or CP12 document annually. If a property does not have a current CP12, and a tenant dies in the property as a result of a faulty gas appliance, then the Landlord may be charged with manslaughter. In the case of social housing, the Chief Executive of the Council or Housing Association is legally deemed the Landlord. The Landlord is legally obligated to store these forms for a minimum of 7 years; InterNETalia’s largest client has 30,000 properties, presenting a significant volume of paperwork to store. Using Integral mForms®, InterNETalia have implemented a mobile solution to provide electronic CP12 documents to these clients, making storage and reproduction of the documents easy. The Housing Association or Council representative and the tenant sign an electronic version of the form running on the PDA, and this is then immediately sent in .pdf format to the administration centre, where they can be stored electronically and printed only if required.
